AI agent for procurement matching

QuotePilot: from external price list to the right match in your range

QuotePilot reads external supplier and competitor price lists from PDF or Excel, recognises the products and matches them to your own range. This is procurement matching, not a customer request or an automatically generated customer proposal. Powered by MatchPoint.

The problem

Manual price-list processing does not scale

01.

External supplier and competitor price lists arrive as PDFs, spreadsheets and changing formats.

02.

Manually matching products to the right catalogue item is time-consuming and error-prone.

03.

Spelling variations, brands, volumes and units make reliable recognition difficult.

04.

Without reuse, the team has to review tomorrow a product that was correctly matched today.

How it works

Recognition with oversight, not a black box

QuotePilot prepares the match; your employee makes the decision. This automates repetitive work without losing control of your catalogue data.

01.
Read

QuotePilot reads external supplier and competitor price lists and extracts the products.

02.
Match in three layers

Exact matching on EAN, name, brand and volume; fuzzy matching for spelling and unit variations; semantic matching for related meanings.

03.
People decide

Multiple candidates per product with a confidence score. Accept with one click or adjust manually.

04.
Learn and reuse

Every decision is recorded so future price lists are matched faster and more consistently.

Frequently asked questions

About QuotePilot.

Does QuotePilot create customer quotes?

No. QuotePilot processes supplier and competitor price lists and matches products to your own range. It is procurement matching.

Which files can QuotePilot process?

The current solution processes PDF and Excel files, among others. We determine the required sources and exports for each workflow.

How does product matching work?

QuotePilot combines exact matching on EAN, name, brand and volume with fuzzy matching for variations and semantic matching for related meanings.

What happens when a match is uncertain?

The employee sees multiple candidates with a confidence score and accepts the best match or adjusts it. That choice is saved for later reuse.

Does QuotePilot connect to our ERP?

That is the starting point. The solution uses catalogue data from the existing landscape and connects through the appropriate route. At VHC Jongens, QuotePilot works with the Zegris ERP.

What does QuotePilot cost?

The Prove session has a fixed fee agreed in advance. A separate fixed build fee follows only after a positive build decision. After that, a fixed monthly fee per agent covers management, monitoring and improvement.

Still matching every external price list manually?

In 30 minutes, we determine whether QuotePilot can add value to your procurement or matching process. During the Prove session, we then define the workflow, exceptions and required integrations.
